The Person
As the Performance Manager, you will be at the heart of supporting and organising a busy field team of surveyors, reporting into the Director of Surveying Services. You will be responsible for overseeing daily office and administrative operations, coordinating surveyors, and managing administrative tasks like project filing, invoicing, client communication and appointment coordination.
The role provides an invaluable opportunity for development within the Operations team with support from a professional and capable team. This role acts as a central point of contact, ensuring projects and work runs smoothly from the office and in the field.
Responsibilities
The responsibilities of the Performance Manager (Surveying Services) include (though are not limited to):
- Manage daily office activities within surveying services to ensure smooth and efficient operations, including scheduling, supply management and client relations.
- Act as a liaison between surveyors, clients and other employees/parts of the operations team to schedule tasks, monitor progress and ensure SLAs and other deadlines are met.
- Adjusting schedules and resources as required.
- Manage files through company systems.
- Handle administrative duties such as organising files, supporting surveyors, managing client records, supporting with invoicing.
- Act as the primary point of contact for client queries related to surveying services.
- Ensure all employees within surveying services have the necessary tools, equipment and documentation for their work.
- Report on project and file progress as required to client services, and senior management.
- Schedule and assign files and visits to surveyors.
- Liaising with Finance and HR as needed.
- You will be expected to carry out any other duties that may reasonably be required and notified to you by the Company.
Skills and Experience (E: essential, D: desirable)
- Organisation and project management experience with the ability to manage multiple projects and schedules simultaneously within a surveying environment (E).
- Strong verbal and written communication skills are essential for liaising with clients, employees and other third parties (E).
- Attention to detail is crucial for managing files, handling day to day administrative tasks and ensuring accuracy (E).
- Capable of prioritising competing workloads in busy periods and distributing work accordingly (E).
- Proactive, positive and quality-focused (E).
- Strong problem-solving skills and takes initiative (E).
- Familiarity with office software and ideally, an understanding of surveying terminology and processes (E).
- The capacity to handle a variety of tasks and adapt to changing priorities (E).
- Proven experience in an office management or similar administrative leadership role, preferably in a project-driven environment like surveying, construction, or engineering (E).
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with project management or CRM tools (E).
- An understanding of working within a Loss Adjusting business or professional surveying practice (E).
Education and Qualifications (E: essential, D: desirable)
- Minimum GCSE B grade and above in English and Maths (E).
