Job Introduction

As our new HR Administrator, you’ll be an integral part of our HR team, providing centralised support throughout the employee lifecycle.

You’ll be responsible for data validity, accurate data input and the administrative management of our HR Information System, ensuring all updates are timely and accurate.   You’ll also have input into system improvements and be responsible for key HR activities from an administrative perspective, including supporting payroll, recruitment, onboarding, offboarding, our salary review process and appraisals, compensation and benefits, learning and development administration and document drafting.

What you’ll be doing:

A large part of your role will be managing our HR Information system, ensuring accuracy of the data for monthly reporting metrics. This includes adding new starters, processing leavers, updating salaries and other information requiring change throughout the employee lifecycle, as well as ensuring employee information is up to date and legally compliant.

Additional responsibilities include: 

  • Organising and maintaining up to date HR/Personnel files for all employees within the HR Shared Drive
  • Preparing system reports
  • Supporting with payroll administration
  • Providing onboarding support to the Talent Acquisition team, and induction support to the HR team 
  • Ensuring consistency across template documents, such as letters, contracts and forms, in line with current Woodgate & Clark branding guidelines
  • Coordinating mail merges for employee bonus and salary review, as well as other benefits administration
  • Drafting and amending onboarding and offboarding document packs when required
  • Conducting exit interviews and providing this feedback at monthly HR team meetings
  • Responding to reference requests in a timely manner
  • Coordinating inductions for all new starters in partnership with the respective line manager, and ensuring probationary reviews are completed
  • Supporting with the arranging of on and off-site meetings when required
  • Reporting HR-related queries to the relevant HR colleague for timely resolution where required 
  • Ensure the training and development systems and respective trackers are kept up to date, including professional membership management
  • Manage annual employee checks, including DBS renewals
  • Ensure policies and procedures are signposted to new starters and across the business when new policies are implemented, or current policies are updated
  • Ensuring that training venues are booked and catering is organised when required

About you

Well need you to have relevant HR experience knowledge and be CIPD Level 3 qualified (or working towards this). 

You’ll be an organised self-starter; able to scope administrative projects and drive initiatives, in addition to supporting wellbeing initiatives across the business to encourage a more inclusive company culture

We’d like you to work collaboratively and positively with the rest of the HR team on a day-to-day basis to ensure the HR function is efficient, automated, and perceived as a trustworthy, highly functioning team across the business.  

Other essential requirements:

  • Familiarity with HR Information and Applicant Tracking Systems
  • Have a logical and systematic in approach to HR administration, delivering with accuracy and to specific deadlines
  • Be a quick learner, although we will support you with training and guidance
  • Demonstrate sound written and verbal communication skills, with attention to detail 
  • Be able to analyse and summarise complex qualitative and quantitative data sets from HRIS and other internal databases/systems 
  • Capable of prioritising competing workloads in busy periods and balance/coordinate a variety of work concurrently
  • Proactive, positive and quality-focused
  • An understanding of the confidentiality of HR information
  • Ability to work on own initiative, autonomously, as well as part of a wider team.  
  • Experience within professional services environment is desirable, but not essential
